The receipt is a duty, not a courtesy
Section 25 of the Landlord and Tenant Act 2022 requires a landlord who receives rent to give the payer a written receipt. It is not optional and it does not depend on the tenant asking nicely. The Act also says when: immediately where the payment is made in person, and within five working days where it is not made in person and a receipt was requested at the time. On top of that, the landlord keeps a record of every receipt issued.
Most receipts written in Uganda fail on one field. They give a figure and a date and leave out the period the money covers. A year later, when the two of you are counting how many months are outstanding, a stack of receipts that each say “UGX 600,000 received” settles nothing at all. That is why the period is two dates in this tool rather than a month name: a tenancy that runs from the 15th makes “August” ambiguous.
What goes on it
The Act names two things: the amount of rent paid, and the period the rent covers. Leave either out and the tool says so in red, because a receipt without them is not doing the job the Act gives it.
Everything else on the receipt is there because it is what makes the document useful later: who paid, which property and unit, the date the money moved, how it was paid, and the reference. The amount appears in figures and again in words, the way Ugandan receipts are conventionally written, because the words are what gets read back when the figures are disputed.
Cash, mobile money, bank and cheque
Pick how the rent was paid and the reference field renames itself: a transaction ID for MTN Mobile Money and Airtel Money, a bank reference for a transfer, a cheque number for a cheque. Copy it exactly. It is the one string that lets either of you find this payment on a statement six months from now, and the tool nudges you when a non-cash payment has no reference on it.
A mobile money confirmation message is not a receipt. It proves a transfer happened between two phone numbers. It does not say what the money was for or which period it settled. Keep the message, and issue a receipt that records the period.
Part payment, which is the normal case
Rent arrives in pieces here more often than it arrives whole. Enter the rent due for the period and the receipt shows what is still outstanding on its own face, so nobody has to reconstruct it from memory. If an earlier receipt already covered part of the same period, enter that too and the receipt totals the lot. Pay over and the excess is recorded as a credit carried forward rather than quietly swallowed.
Numbering, and the record you keep
Number receipts in one unbroken series. The record-keeping duty in section 25 is not satisfied by a drawer of unnumbered paper. Start at something like RCT-0001, and the button under the field moves you to the next number when you write the following receipt, keeping the padding so 0009 becomes 0010 rather than 010.
Printing it
The print button hands the receipt to your browser’s own print dialogue, where “Save as PDF” produces a file you can send on WhatsApp. Only the receipt prints; the form, the warnings and the rest of the page do not. Four themes are offered, including a letterhead carrying your own name and contacts, with a serif or sans choice, three text sizes including large print, and control over margins and spacing. They change how it reads on paper and nothing about what it says.
Print two: one for the tenant, one for your own file. Anything you have not filled in prints as a blank line, so a landlord who prefers to complete receipts by hand can print a stack with the fixed parts already on them.
What this is not
It is a template drafted from one section of one Act, and it is not legal advice. It does not know what you agreed with your tenant, and it cannot tell you whether a payment settles the month you think it settles. Common questions
Does a landlord in Uganda have to give a rent receipt?
Yes. Section 25 of the Landlord and Tenant Act 2022 requires a landlord who receives rent to give the payer a written receipt: immediately where the payment is made in person, or within five working days where it is not made in person and a receipt was requested at the time. What must a rent receipt state?

Is a mobile money confirmation message a receipt?
No. An MTN Mobile Money or Airtel Money message proves a transfer happened between two numbers. Keep the message and issue a receipt that records the period.
What if the tenant pays only part of the rent?
Enter the rent due for the period and the receipt shows the balance still outstanding on its face. Partial rent is normal in Uganda, and a receipt that hides it causes exactly the argument the receipt was meant to prevent. If the tenant pays more than the period needs, the receipt records the excess as a credit carried forward.
How should rent receipts be numbered?
In one unbroken running series, because the Act makes keeping a record of every receipt issued part of the duty. Start at something like RCT-0001 and use the button to move to the next number in the series. The padding is kept, so RCT-0009 becomes RCT-0010.
Is anything I type into this generator sent anywhere?
